Setup PowerBI - Digital Audit Preparation

This is a guide for the setup and creation of the PowerBI report in PowerBI Desktop in preparation for the workshop on Digital Audit Preparation.

General process of Digital Audit Preparation

zapAnalytics - Digital Audit Preparation enables the one-time creation of a project within our software, zapAnalytics. This includes workshops conducted alongside zapliance professionals and the customer. To analyze your SAP data effectively, data is extracted from your SAP system, processed by zapAnalytics, and evaluated using the zapliance indicators defined by your purchased package.

The output consists of Microsoft Power BI files that provide insights into SAP usage, identify key risk and opportunity indicators, and enable deeper data analysis using Microsoft Power BI Desktop. In order to complete this process, the following requirements must be met:

  1. Installation of zapAnalytics
  2. Extraction and processing of SAP data within zapAnalytics
  3. Installation of Power BI Desktop
  4. Import of zapAnalytics data into Power BI for report generation

Installation of Power BI Desktop

Once data extraction and processing are completed within zapAnalytics, the Power BI report templates need to be opened using Power BI Desktop for importing the results from the zapAnalytics result files . This will create Power BI reports that are accessible locally by the customer, serving as the basis for the workshop session.

To proceed, ensuring Power BI Desktop is installed is necessary. If it has not been installed yet, the following options are available:

  1. Installation via Microsoft Store: Power BI Desktop can be downloaded and installed directly from the Microsoft Store.
  2. Download from the Microsoft website: The latest version of Power BI Desktop can also be downloaded from Microsoft's official website.

PowerBI Templates and zapAnalytics Result Files

The zapAnalytics Digital Audit Preparation produces deliverables as defined in the content package. This typically includes zapAnalytics result files (.parquet) and Power BI template files (.pbit).

The files after data processing contain the following information:

  • Power BI Template (.pbit): Template files for report creation.

  • zapAnalytics Result files (.parquet): Processed data files as source files.

  • Power BI Report (.pbix): Final report generated for insight delivery.

The user has the option to connect the PowerBI template with the zapAnalytics data source and save it locally as a single PowerBI report file.

How to create Power BI Reports

The Power BI reports are created based on Power BI templates and the zapAnalytics result files. Subsequently, two Power BI reports are provided:

  • General Overview
  • Indicators

These two Power BI reports serve as the foundation for the Digital Audit Preparation Workshop and represent the working files that the customer will use to prepare for and conduct the further audit process.

Following steps are necessary to create the two Power BI reports:

  1. Download the zapAnalytics result file, unzip the folder and copy the file path.

  2. Open one of the Power BI template files (pbit) and insert the file path of the zapAnalytics result file. Click the Load button to generate the Power BI report.

  3. The following settings must be configured for the user within the Power BI templates to achieve smooth and consistent reporting.

    Please proceed as follows:

    Open FileOptions and SettingsOptions.

Under Report Settings, navigate to Query Limit Simulations.

Select Premium Capacity as the preferred option.

  4. The Power BI report must be saved in the .pbix file format:

Please ensure that this report is shared with the end user as well as with zapliance for the purpose of workshop preparation.

Publishing Power BI Reports

Power BI reports (.pbix) can be published to the Microsoft cloud, enabling other authorized Microsoft users to access them with either viewing or editing permissions. Note that publishing reports requires a Microsoft Power BI Pro license.
