Monitoring SAP Transactions in SAP Systems

How to monitor access rights and transaction calls when using zapAudit and zapCash with SAP systems

In the realm of financial and audit management, zapliance offers two robust software products: zapAudit and zapCash. These tools significantly enhance auditing efficiency and cash flow management by downloading relevant data directly from SAP systems.

However, this process requires specific SAP user permissions and invokes certain SAP transactions. A frequent query from users is about understanding which SAP transactions are activated during data download.

To address this, we can utilize SAP's Transaction ST01 to monitor these activities.

This article provides a comprehensive guide on how to monitor access rights and transaction calls when using zapAudit and zapCash with SAP systems.

Understanding the Requirement

Before diving into the monitoring process, it's crucial to comprehend the prerequisites:

  • SAP User for zapliance Products: A dedicated SAP user is necessary for both zapAudit and zapCash. This user is responsible for downloading data from the SAP system using a Remote Function Call (RFC).
  • Required SAP Access Rights: Specific access rights are needed for the SAP user to facilitate seamless data download. These rights must be assigned to the user in the SAP system.
  • Identifying SAP Transactions: During the data download process, certain SAP transactions are executed. Identifying these transactions can be essential for audit trails, security reviews, or troubleshooting.

Step-by-Step Guide to Monitor SAP Transactions

1. Preparing the SAP System

    1. Ensure that the SAP user assigned to zapAudit and zapCash has the necessary permissions.
    2. Verify that the user has access to Transaction ST01, which is used for SAP trace analysis.

2. Activating Trace in SAP

    1. Log in to the SAP system with the required user credentials.
    2. Access Transaction ST01 (/nST01) in the SAP GUI.
    3. In the ST01 screen, select the trace components relevant to your monitoring. Typically, this would include RFC (Remote Function Call) trace for zapliance products.
    4. Activate the trace by clicking on the Activate Trace button.

3. Running zapAudit or zapCash

    1. Execute the data download process in zapAudit or zapCash.
    2. Ensure that the SAP user performs all required transactions during this period.

4. Deactivating and Analyzing the Trace

    1. Once the data download is complete, return to Transaction ST01 in the SAP system.
    2. Deactivate the trace by clicking on the Deactivate Trace button.
    3. Access the trace results by selecting Display Trace.
    4. Analyze the trace logs to identify the SAP transactions called during the data download process. This will include details of each transaction, time stamps, and other relevant information.

Monitoring SAP transactions for zapAudit and zapCash is a straightforward process when using Transaction ST01. This not only ensures compliance with internal and external audit requirements but also provides transparency into the data download process. By following the outlined steps, users can efficiently track and analyze the transactions invoked by zapliance products, ensuring a secure and compliant data handling environment.
